Explanation Letter for Negligence of Duty
Respected Manager,
I received a warning letter from the company yesterday with regard to my negligence of duty, and was asked to write an explanation letter. I am really sorry for my unacceptable behavior, and I know that there is no explanation that would justify my negligence but I am actually going through a really rough time.
My mother is sick, and she is admitted in the hospital since a week. Every day before coming to work, I have to go to the hospital, and check up on her on daily basis which makes me late at work at times. During the work hours I use my phone to call my wife to see how my mother is doing. I am really tensed, and this distracts me so I can’t pay attention to my work. Taking a leave is also not an option as I am in desperate need of money to pay the bills.
I am again sorry that I disappointed you but I assure you that you will not hear such complain again. I will put all my focus in work, and try to come on time. I hope you accept my apology. Thank you.

Dear Sir,
With all due respect, I am writing this letter to explain why I have been neglecting my duty lately. I know you are disappointed with my recent performance but I have been very tired, and stressed out. Recently, my father has been very ill, and he has been admitted to the hospital. He is on a ventilator, and the doctors have said that he does not have much time. My health has also been deteriorating day by day, and this is why I am not able to focus on my duty. My mind keeps pondering around my father’s health, and what I will do if something happens to him. I excuse myself for not being able to focus on my duty lately, and I hope you will pardon my negligence.
Please do keep my father in your prayers, and hope that he gets well soon.
